Productivity analytics is a tool that tracks user interaction with websites and applications in the background.
In this mode, the program does not process any personal data or business documents. The object of analytics is such data as "Ctrl+C" pressing (the clipboard is not read in this case), number of repeated clicks in the template action, statistics of next steps. Thus, Productivity Analytics has no access to any user data, but allows you to collect statistics about user interaction with various applications.
The program analyzes the user's interaction with interfaces, mouse and keyboard. In this way, you can get data that allows you to identify patterns of repetitive actions, which can be automated with RPA.
Productivity analytics allows you to analyze the daily actions of your employees and identify potential for process automation.
Productivity Analytics working conditions
- Bot Runner installed. This tool is the main one to work with Productivity Analytics, it's the Bot Runner that collects the names of the applications used and counts the running time.
- Installed ElectroNeek Chrome Automation extension for Google Chrome. It is needed for website analytics. You can find more information about the extension here.
- Activated account.
- ElectroNeek Bot Runner included in the autorun. This is optional, but this way Bot Runner will always start automatically. To include Bot Runner in the autorun:
- Open Task Manager (Ctrl+Alt+Delete);
- Go to the "Autorun" tab;
- Make sure that the status of ElectroNeek Bot Runner is "On".
Launching Productivity analytics
Productivity Analytics starts automatically and runs in the background as long as Bot Runner is running and time tracking is permitted.
You will also see a system notification that the robot has started tracking your time. It is also possible to stop tracking your time through the tray menu of Bot Runner.
Employees’ work analysys
To get the data about the employee's work on the computer, log in to the account of the employee who has the "Analyst" role. This page should display new data (in 12-15 minutes), turn off "Example Data" to check the arrival of real data:
After collecting enough data for analysis (takes several days to several weeks), analyze typical applications, web pages, and employee behavior patterns to find potential processes for automation. Examples of how to do this are described below.
Finding opportunities for automation
In this section, you will learn how you can use the information you get to find automation opportunities (using demo data as an example). Let's look at an example of a specific employee. You can do this by clicking "All" → "John Cooper”.
The graph has changed. It now shows the amount of time spent on various applications and websites for that employee.
It may be noted that the amount of time employees spend in Excel and on various sites is enormous. An employee spends a quarter of a typical work day just working in Excel!
Thus, it can be understood that these types of applications are potentially ideal examples for automation.
Because the number of Excel-related actions is large, many Excel actions can likely be automated. It is likely that John is simply copying data from the websites and pasting it into an Excel document and possibly doing some calculations within the file. This is the point you can examine in detail. Click on any row in the spreadsheet and look at the suggested next steps.
The first thing to do is to get in contact with John and gain some information from him about this business process. This is to get a better understanding of what he was doing, and to find out what information he was working with and how he was processing it.
After getting the information from John, we understood that he is an online store manager and his workflow is to calculate prices for products (about 70 items) in an Excel table, in particular to calculate the median, minimum and maximum price. Collecting prices from websites is also a routine operation. Therefore, the information received suggests that this is an ideal process to automate.
Finally, we decided to automate this process. We can assign such a task to one of our developers, and they can use ElectroNeek Studio Pro and ElectroNeek Bot Runner tools to perform it.
